 Trustees Meeting

Wednesday, June 22, 2022

          

The meeting began at 4:07 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer and Leslie Collins, Secretary.  The meeting took place in the Meeting Hall next to the library.  The meeting was video recorded.  Marty entered at 4:16 p.m.

The Secretary’s report for 5/25/2022 was reviewed and accepted after the title was changed from Trustees Annual Meeting to Trustees Meeting.  

The Treasurer’s report as of 6/23/2022 will be reviewed at the next meeting.

The Director’s Report from 5/22/22 to 6/18/22 was reviewed and accepted.  Cathryn has jury duty on Monday, July 11.  Library coverage will be addressed once it is known the impact it has on her work schedule.

Old Business

Cathryn will do the final revision of the New Resident Letter and brochure.

          Fourteen participants attended the Garden Group Plant Swap on Sunday, 6-4-22 from 10-2 p.m. 1:30 p.mOn 6-25-22 there will be a Garden Tour at Karrie Jenovese’s home from 2-4 p.m.

            Cathryn has received a quote from Brady Heating and Cooling and has scheduled an appointment with another air-conditioning company for next month.

            Marty will call Emmett and inquire when the library sign will be posted.

            Last month Cathryn submitted the findings from her statewide consortium regarding Juneteenth (Sunday, June 19, 2022).  The results were varied.  Although Juneteenth is a federal holiday and is listed in RSA 288:1 as a state holiday, it is not a paid holiday for NH State employees.  State offices will remain open.  The board decided to review this again if it ever becomes a paid holiday in the State of NH.

            Nancy emailed us a copy of a NHLTA article from Lori Fisher about misclassification of employees and annually signed contracts with volunteers.  Cathryn provided copies of volunteer policies and volunteer agreements from Nelson, Warner, Manchester and Best Practices for NH Libraries – VOLUNTEERS by Lori Fisher.  Specific points were discussed from the Best Practices (Wednesday volunteer hours, confidentiality, working the desk).  It was voted to keep the library schedule and duties as they are presently.  A volunteer policy and volunteer contract will be discussed at the next meeting.  Cathryn asked us to be thinking about if the volunteer contracts would be required for impromptu volunteers (usually for shelf reading) during the Summer Reading Program and patrons who volunteer for very short term.

Leslie contacted the Old Home Day Committee and informed them that the library is interested in participating again this year in the same capacity as last year.       

 Three people attended the movie for June, Nightmare Alley on Friday, June 17 at 7 p.m.  The movie for July will be Lone Star.  Nancy will deliver snacks and water.  Nancy and Marty will attend the movie.  No movie will be shown in August.

            Peg Foss responded that there are enough Celebration Bags at the Food Pantry on 6-20.

New Business

          Marty would like to investigate the cost of a projector mounted on the ceiling for movies.

            Leslie gave Marty a receipt in the amount of $15.99 for teak oil for the memorial bench in front of the library.  She has spread the remaining two bags of mulch, oiled the teak bench, fertilized, dug the daffodils out from under the book drop and weeded the gardens.

            Nancy suggested inviting the candidates after the November Primary for a candidate forum.

The meeting ended at 4:51 p.m.  The next meeting will be held in the Meeting Hall next to the Library on Wednesday, July 27, 2022, at 4:00 p.m.

Summary of duties during July 2022

* Marty will contact Emmett and inquire when the library sign will be done.

*Marty will reimburse Leslie for $15.99 for teak oil.

*Marty will investigate the cost of a projector mounted on the ceiling.

*Marty will continue to bring the itemize budget lists to the meeting.  He will also bring the page entitled “Actuals” to each meeting.

*Cathryn will do the final revision the New Resident Letter and the brochure. 

*Cathryn will post the Director’s Report online.

*Cathryn will continue to investigate replacing the air conditioner. 

*Cathryn and Nancy will invite the public to the next Trustees Meeting on the town website and the Library’s Facebook page.

*Leslie will monitor the front gardens.

*Leslie will monitor the need for Celebration Bags at the Food pantry.  Last contact was June 20.

*Leslie will do the sign for the Garden Group and put it out in front of the library. 

*Leslie will do the sign for Lone Star and put it out in front of the library on July 5. 

*Nancy and Marty will attend the movie.  Nancy will get the Boscawen couple’s phone number just in case we have to cancel on a short notice.  Nancy will provide snack.

*Nancy will follow up with candidates after the November elections.

*Nancy and Donna will advertise the garden group meetings.

*Nancy will invite the public to the Movie Night on the town website, Pillsbury Lake website, the Facebook page and in the Concord Monitor.

*Nancy will welcome new residents to Webster and the Library with the welcome letter.
