Trustees Meeting by Teleconference

Thursday, July 30, 2020

 

           The teleconference began at 3:01 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.  The teleconference took place on FreeConferenceCall.com.

The Secretary’s report for 7/16/2020 was reviewed and accepted.

The Treasurer’s report was reviewed and accepted for the period of 7/1/2020 to 7/29/2020.  Nancy inquired if reviewing the budget biweekly was necessary.  Marty responded that reviewing it monthly would be adequate. 

Old Business

          The Plexiglas sneeze guard was successfully modified by Jim.  The legs to the sneeze guard are not fitting properly and Cathryn is not sure they can be modified.  A sincere thank you to Jim for his continued efforts and service. Nancy has filled the sanitizer bottles. 

            Cathryn is opening to the public on August 9.  She will continue to offer curbside service.  She will be open the usual hours for Sunday (12 p.m. until 4 p.m.) and Monday (1 p.m. until 8 p.m.).  Wednesday she will be open from 9 a.m. until 4 p.m.  Volunteers will not participate until further notice.  Admittance of up to two families simultaneously will be allowed into the library.  Appointments are not required.  For social distancing purposes, a visual indicator will be located on the front door; green will indicate patrons may enter, red will indicate (stop, please wait outside) the library is at capacity.  Six feet distancing and masks are required.  A book cart will block the entrance into the library displaying a sign, hand sanitizer, masks and a book bin for returns.  If a patron removes a book from a shelf and decides not to check it out, they will be requested to place it in a bin rather than return it to the shelf.  The book will be sanitized before being returned to the shelf.  Cathryn will advertise in the Grapevine, Merrimack Valley Voice, Facebook, the library website and on the message board in the front of the library.

            Cathryn gave an update on the current passes available at the library:

                        Mt. Kearsarge Indian Museum:  Pending

                        Strawberry Banke:  Closed until 8/12, TBD

                        SEE Museum:  Opens 8/1, appointment needed, limited capacity

                        Currier Museum:  Opens 8/20, appointment needed, limited capacity

                        Telephone Museum:  No appointment needed, masks required

            Leslie will provide more Celebration Bags to the Food Pantry on 8/5.

         

New Business

          Leslie will revisit the notes from the revision of the Policies/Procedures/Bylaws and submit a synopsis to everyone.  Cathryn will update the webpage.

          Marty requested the current bills from Cathryn and Cathryn said she has placed them in his folder.

         

            The volunteers will be informed of the status of their positions by Nancy (Sarah), Marty (Julia) and Leslie (Karen).

            Leslie will provide more Celebration Bags to the Food Pantry on August 5.

            Nancy has emailed David Hemenway and requested that the Library participate in the development of COVID related town policies.

           

            The teleconference ended at 3:53 p.m.  The next teleconference will be August 13 at 3:00 p.m.

Summary of duties during August 2020:

*Marty will pay the invoice from Kearsarge Indian Museum.  Current bills are in a folder at the Library.

*Marty will set up the next teleconference.  (1-425-436-6362, 455735#)

*Marty will review the Library budget once a month.

*Cathryn and Nancy will invite the public to the Trustee Meeting Teleconference Calls on August 13, 2020 at 3:00 p.m. on the town website and the Library’s Facebook page.  They will keep the public informed of ongoing decisions/changes as the library transitions to reopening in the Grapevine, Concord Monitor, Merrimack Valley Voice, with signage and the message board.

*Cathryn will continue ordering and implementing the changes necessary for reopening.

*Cathryn will facilitate the curbside service.

*Nancy, Marty and Leslie will inform the volunteers of the status of their positions.

*Leslie will revisit her notes on the revision of the Policies/Procedures/Bylaws and communicate her findings.

*Leslie will monitor the front garden.

*Leslie will provide the Food pantry with more Celebration Bags.

*Nancy is closely monitoring the Humanities presentation scheduled for October.

*Nancy will be on call for cleaning services.

 

All decisions made take into consideration the health and safety of the staff/patrons and are subject to change.  The Trustees and Director are meeting every two weeks and are making informed, cautious decisions.
