Trustees Meeting

December 18, 2019

 

           The meeting was called to order at 4:07 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.

The Secretary’s report for November 20 was reviewed and accepted after the movie date was changed from December 6 to December 20.

The Treasurer’s report for December was reviewed and accepted.  Hoopla was placed in the “Materials” line in the budget with Overdrive.  Marty transferred $2000 from Mainstay, $1000 going to initiate Hoopla and the rest to pay the town portion.  Our balance by year’s end will be approximately $500.  Marty will send us a balance sheet closer to 12-31-19.

Karen King expressed her gratitude for the holiday arrangement and commented on how gorgeous it was.  Cathryn extended Jim’s gratitude and thanks for the holiday gift card.   

 

Old Business

          The 2020 Budget was reviewed, approved and accepted.

            Marty has submitted the $1000 startup fee to Hoopla.  Cathryn has completed paperwork.  She has scheduled a 90-minute phone conference on January 10 with a Hoopla associate.  She will need a couple of weeks to initiate Hoopla.  She will announce the Hoopla service to our residents on both the town website and our Facebook page once it is launched.

            The presentations were reviewed for 2020.  Jim Ramanek ($0) will present on Thursday, January 23 from 2-3:30.  Leslie contacted Therese and reserved the Town Hall.  The Owl Program from Squam Lake Science Center ($250 plus approx. $55 in mileage) will present Saturday, March 28 (time needs to be determined).  Nancy is waiting to hear from NH Audubon (Raptors, May) for a date and time.  She has scheduled Women’s Suffrage from NH Humanities for Friday, Oct 2 at 7 p.m.  Nancy has filed the necessary paperwork for payment.  The only cost to the Library will be for mileage.

Leslie wondered if the movie times should be changed from 7:00 to 6:30 p.m.  It was decided to ask the patrons at the next movie what their preference is.  Marty suggested offering the 2 o’clock time in the afternoon.

Marty has ordered ten additional chairs for movies.  Leslie will let Marty know if the chairs are delivered tonight.  If they are not, Marty will contact the Town Office.

Nancy contacted the moderator, Mike Jette, and received permission to hold a Book Sale on Election Day, Tuesday, February 11.  We are to contact Nancy and let her know what hours we are available.  Nancy will let us know the hours the Town Hall will be open for voting.  Bruce Johnson will be donating some of his books.

New Business

          Cathryn requested Sunday, February 23, Monday, February 24 and Wednesday, February 26 off for vacation.  All the Trustees approved.  Marty will facilitate the Book Group while Cathryn is on vacation. 

            A plumber has replaced a part on the toilet and it is now working worse than it was.  Cathryn has emailed Leslie Palmer.

            Marty will let us know the January movie and date.

            Leslie reported that the Food Pantry has three Party Bags.  She has plenty of supplies for making more.  Leslie submitted a request for $161.64 reimbursement for three gift cards, one each for Jim Clark-Dawe, Michael Sauve and Jim Ramanek.  She will label the new movie chairs once they arrive.                                                                                                                                                                                                                                                                                                                  

Nancy submitted a request for $100 reimbursement for the arrangements from Nancy Piper.  Nancy has not heard any details from Leslie Palmer regarding holding the Select Board Meeting in the Library for January. 

 

            The meeting ended at 5:00 p.m.  The next Trustee Meeting will be on Wednesday, January 22, 2020 at 4:00 p.m.

Summary of duties during January 2020:

*Marty will email us a copy of the final budget of the year closer to 12-31-19.

*Marty will contact the Town Office and let them know the chairs are arriving.

*Marty will contact Nancy with the hours he is available for the Book Sale.

*Cathryn will participate in a 90-minute conference call on Jan 10 with Hoopla.

*Cathryn will continue the steps necessary to launch Hoopla.

*Leslie will send Jim Ramanek a reminder email and ask him what type of set up he would prefer for his presentation.

*Leslie will label the new chairs when they arrive.

*Leslie will monitor the number of Gift Bags at the Food Pantry.

*Leslie will ask the patrons at the next movie if they have a time preference for the winter months.

*Leslie will contact Nancy with the hours she is available for the Book Sale.

*Nancy will finalize the NH Audubon and Squam Lakes Science Center after the New Year when they might be more available for returning phone calls.

*Nancy will advertise for the Jim Ramanek presentation (thank you!).

*Nancy will inform us of the hours the Town Hall is open for voting.

*Nancy will let us know if she hears the Select Board is holding their January meeting in the Library so we can help with snacks and set up.
