Trustees Meeting

November 20, 2019

 

           The meeting was called to order at 4:05 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.

The Secretary’s report for October 23 was reviewed and accepted.

The Treasurer’s report for November was reviewed and accepted.  Marty will email us a finalized copy of the 2020 Budget.  Marty submitted the 2020 Budget to Nancy Bates last week. 

 

Old Business

            Cathryn will contact Hoopla and inquire about the best payment method.  She will notify Marty so that Hoopla’s services can be available to patrons as soon as possible.

            Cathryn is enjoying the ease of the new ILL program.  The check-out procedure remains the same.   

            The presentations were reviewed for 2020.  Jim Ramanek ($0) will present on Thursday, January 23 from 2-3:30.  Leslie will contact Therese and reserve the Town Hall.  The Owl Program from Squam Lake Science Center ($250 plus approx. $55 in mileage) will present Saturday, March 28 (time needs to be determined).  Nancy is waiting to hear from NH Audubon (Raptors, May) for a date and time.  She has scheduled Women’s Suffrage from NH Humanities for Friday, Oct 2 at 7 p.m.  Nancy has filed the necessary paperwork for payment.  The only cost to the Library will be for mileage.

New Business

          Cathryn requested Sunday, December 22 and Monday, December 23 off for vacation.  All the Trustees approved.

            The movie for December will be Remember the Night.  It will be held on December 13 at 7 p.m. (Because the Holiday Party is on Dec. 13, the movie may be moved to Dec. 6)

            Marty will order 10 more chairs from Walmart on Monday, December 2, if Walmart offers two-day delivery.

Nancy has ordered arrangements from Nancy Piper.  She will pick them up on Wednesday, December 4.  Leslie will provide Christmas cards for the volunteers to go with Nancy Piper’s arrangements.  She will purchase a $50 Visa gift card for Jim Clark-Dawe as a thank you for his volunteer service.  She will purchase a gift card for Michael.

Leslie wondered if the movie times should be changed from 7:00 to 6:30 p.m.  It was decided to ask the patrons at the next movie what their preference is.  Marty suggested offering the 2 o’clock time in the afternoon.

Nancy emailed Leslie Palmer and reported the dented metal railing in the front of the library.

Nancy will contact the moderator, Mike Jette, and request if a Book Sale can be held on Election Day, Tuesday, February 11. 

 

            The meeting ended at 4:40 p.m.  The next Trustee Meeting will be on Wednesday, December 18, 2019 at 4:00 p.m.

Summary of duties during December 2019:

*Marty will email us a copy of the finalized 2020 Budget.

*Marty will order ten more chairs from Walmart.

*Cathryn will contact Hoopla and inquire about payment methods.  She will relay the information to Marty. Hoopla will be availalble for patrons ASAP.

*Leslie will label the new chairs when they arrive.

*Leslie will deliver two Gift Bags to the Food Pantry.

*Leslie will ask the patrons at the next movie if they have a time preference for the winter months.

*Leslie will deliver holiday cards for volunteers by Dec. 4.  She will purchase gift cards for Jim and Michael.

*Leslie will reserve the Town Hall for Jim Ramanek’s presentation.

*Nancy will finalize the NH Audubon and NH Humanities Workshops.

*Nancy will contact the moderator and request if a Book Sale can be held on Election Day.

*Nancy will ask when the Holiday Party is being held.

*Nancy will pick up the holiday arrangements on Dec. 4.
