Trustees Meeting

November 29th, 2017

               

The meeting was called to order at 4:10 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.

The Secretary’s report for September was reviewed and accepted after a correction was made from towncrier@gmail.com to webstertowncrier@gmail.com

 

The Treasurer’s report through November 29th was reviewed and accepted.  In the 2018 budget, the FICA amount was changed from $2,180 to $2,137 (-$43.00), which changed the Total Expenses from $46,873 to $46,830.  The budget categories in the 2017 budget were compared to the new categories developed in the 2018 budget.  A new category was designated in the 2018 budget as Materials, which includes the combining of three groups on the 2017 budget, Books, Magazines, DVDs/ CDs/ Downloadables.  Goals were developed for purchasing a movie projector and DVD player for showing movies, looking into the longevity of the projector bulb and possibly getting two (one for the library and one as a thank-you gift) and printer ink (Wal-Mart may be cheaper than Staples).  A new bookkeeping system is needed that shows a monthly balance of each line item (possibly Quick Books) and the increases/decreases from one year to the next by each line item (a request from the Select Board for next year’s budget meeting).  Marty will look into these purchases and will get a balance to Cathryn ASAP for supplies. 

 

Old Business

          John Harrigan has broken his hip so we will wait to see how he is feeling closer to his presentation date in January.  When Nancy receives an update, she will inform us.

          Cathryn has developed a Facebook page for the library.  She, Nancy and Marty are designated administrators for the site.  There is a “Visit us on Facebook” link on the library’s website and an announcement was made on the Webster, NH Facebook page.

In January, Marty will try and contact a woman at the Cheshire Historical Society that might be able to help preserve Currie Sawyer’s diaries.  Marty is going to do a test run with the new converter (EZCap) using one of his cassettes.

           The November movie had four people in attendance.  A goal was made to get the message board out earlier.

           Discussing/developing the Master Plan was postponed until December.

          Leslie will review the work done on our Policies and determine if we have completed the work or what still needs to be done.

          In December we will begin to redesign our current brochure to include the events we have planned for the upcoming year.

 

 

New Business

          The December movie, the 15th at 7:00 p.m., is going to be Scrooged, featuring Bill Murray.

          Cathryn reminded us that the deadline for the Grapevine is the 25th of the month.  She also suggested that we be more consistent about letting residents of Webster know when events are sponsored by the library.  She requested permission to offer our Nooks to other libraries, and all agreed.  She also requested clarification on who was responsible for reporting for publicity:

                    Marty = The Grapevine for movies (by the 25th)

                    Nancy = The Grapevine for presentations (by the 25th)

                    Cathryn = The Towncrier for library news

                                      The Merrimack Valley Voice for library news

                                        The Grapevine for library news, which will include a repeat                                                                                                                                          reminder of the movies and presentations.

 

          Nancy requested the total number of patrons who used each library pass from Cathryn for next month’s meeting.  She will order the arrangements for volunteers from Nancy Pike for Wednesday, December 6th.  She will call the volunteers during her volunteer time on Wednesday, the 6th.  Nancy asked the Library Board if we wanted to invite the Select Board to hold their meeting in the library on January 16th.  All agreed.  Nancy will contact us with the time.                      

          Leslie gave Marty a receipt for a gift card purchased as a thank-you.  Holiday cards were signed.  Leslie will purchase a $25 gift card from Dunkin Donuts as a gift.  Leslie will have all the cards ready and delivered to the library by December 6th.

The meeting ended at 5:20 p.m.  The next meeting of the Webster Free Public Library will be on Wednesday, December 20th, 2017 at 4 p.m.
