Trustees Meeting

July 24, 2019

           The meeting was called to order at 4:10 p.m.  Present were Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.  Steve Adams, Chief of Police, was also in attendance.

            Steve came to the meeting by invitation from the Trustees to discuss the efficiency of alerting an officer if ever needed.  Steve reassured us that there is an officer on duty most nights until 10 or 11.  If a Webster officer was occupied at the time of a call, the Boscawen Police Department would step in to help out.  A test call was made two weeks ago and the dispatch responded within fifteen seconds.  Steve said he would will test on a quarterly basis.  He recommended purchasing some cameras and said he would talk to the Select Board.

The Secretary’s report for June was reviewed and accepted after a C in Kanopy was changed to a K.

The Treasurer’s report for July was reviewed and accepted. 

Old Business

            Eight people attended the movie, Casablanca, on Friday, July 12 at 7 p.m.  Marty has purchased 5 more butterfly chairs.  Cathryn did not receive any feedback from the Facebook page about preferences for genres of movies.  She will put up an inquiry on the desk once the Summer Reading program is over.  The next movie (TBA) will be shown on Friday, September 13.

The new Webster Digital Archive computer has been configured and installed in the Library.  There is a copy of the Standards and Processes next to the computer.  The Webster Free Public Library and the Webster Historical Society jointly own this ThinkCentre M720 Lenovo computer, monitor, keyboard, mouse, battery-backup/surge-protector, and backup drive.  The purpose of this computer is solely to contain all the digital assets of the Library, the Society, and some Town of Webster public documents. The digital assets may be viewed only through Google Drive.  It has 2 accounts: Webster and Public. The Webster account is used by Archivists only and is password protected. The Public account may be used by anyone.  This computer has the following software: LibreOffice office software, GIMP (GNU Image Manipulation Program), Bulk Rename Utility, and Firefox Web browser. The default pdf viewer is Microsoft Edge.  It also has McAfee LiveSafe (firewall and anti-virus) software. This license expires on 7/11/2022.

            Nancy is going to invite the reporter from the Concord Monitor to a Trustee meeting and inquire about how to advertise Dot’s free private computer sessions.  Nancy will invite Dot to the same meeting.

            Nancy asked if we had any new thoughts about providing Little Free Libraries for Webster residents.  Leslie contacted the Food Pantry, Cozy Pond Campground and the Austin Home, inquired if there was an interest, and discovered there really was not any.  This topic will be reviewed again in six months.

            The responses from Cathryn’s Listserv regarding Kanopy was reviewed.  Marty will do an analysis of Kanopy, Hulu and Overdrive to find out pros, cons and cost.  Marty will email Cathryn and inquire how many people use Overdrive.

            Ways of integrating our “Universe of Stories” Summer Reading Program theme into Old Home Days was revisited.  We will reexamine possibilities for participation next year.

            Nancy has sent out approximately 25 introductory letters about the library to new residents.  She receives a PDF file from Therese.  Nancy submitted a receipt for stamps to Marty.

            Nancy placed future ideas for the library in the Trustees Folder:  flu shots by the VNA, Raptor Rehabilitation, UNH presentations.

New Business

          Nancy suggested giving books as door prizes at our presentations

          The closet in the Meeting House, formerly used by The Grange, is now available for our use.  The Grange items will be continued to be stored in the closet.

          Cathryn submitted an invoice from Dot for the new computer for $1326.

            Cathryn requested Aug. 25, 26, 28 and Sept. 1 off as vacation and it was agreed upon unanimously. 

            The gardens will be reinvigorated with transplants this fall.

Leslie will donate two Celebration Bags to the Food Pantry on Aug. 7 and Sept. 4.  She will also provide snack and cover the library for the last Summer Reading Program on Monday, August 12 at 6:30 p.m. so Cathryn can supervise the culminating show, Magic by George.  She has sent three thank you cards to three volunteers from the Women’s Union who planted flowers in front of the library:  Karen King, Linda Amos and Robin Lampron.

David Carroll will do a presentation on turtles on Friday, September 27 at 7 p.m. at the Meeting Hall next to the library.

            The meeting ended at 5:40 p.m.  There will not be a Trustee Meeting in August.  The next meeting of the Webster Free Public Library will be on Wednesday, September 25, 2019 at 4:00 p.m.

Summary of duties during August/September 2019:

*Steve Adams will talk to the Select Board about getting cameras for both the library and town offices.

*Dot will contact either Therese or Leslie for ideas on how to obtain a list of the older residents in Webster.   

*Cathryn volunteered to put up a movie genre inquiry at the front desk after the Summer Reading program.

*Marty will do an analysis of Kanopy, Hulu and Overdrive to find out pros, cons and cost.  Marty will email Cathryn and inquire how many people use Overdrive.

Marty will reimburse Dot for our half of the computer cost ($663).

Marty will reimburse Nancy for the payment of stamps.

Marty will pick up bark mulch from Job Lots.  He will deliver compost to the front gardens.  He will call both Nancy and Leslie on the days he works on the gardens.

Marty will pick out a movie for the second Friday in September.

*Nancy will invite the reporter from the Concord Monitor and Dot to a Trustee Meeting. 

Nancy will report the broken handrail out in front of the library.

Nancy will contact Leslie P. and ask that Cathryn be notified by email (Cathryn will notify each of us) if the Meeting Hall is going to be used so we can put our butterfly chairs away.
