 Trustees Meeting

Wednesday, July 27, 2022

          

The meeting began at 4: 07 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer and Leslie Collins, Secretary.  The meeting took place in the Meeting Hall next to the library.  The meeting was video recorded.

The Secretary’s report for 6/22/2022 was reviewed and accepted after the word “final” was changed to “subsequent” under Old Business, first line.  

The Treasurer’s report as of 6/23/2022 and 7/26/22 was reviewed and accepted.  Marty asked Cathryn if the Zoom account should go under Programming and Cathryn agreed that it should.  Nancy asked what Midwest Tape represented and Marty replied it was the Hoopla account.  Marty has sent Michael his check.  Michael is not available to work the second week in August so will be shampooing the rug the last week, which is better since Cathryn will be on vacation.  Marty paid the town this morning.

The Director’s Report from 6/25/22 to 7/23/22 was reviewed and accepted.  Cathryn will add the Garden Group’s attendance of ten for Lisha Kimball’s Lilies & Berries Garden Tour on 7-23-22 to Program Attendance.

Old Business

          Twenty participants attended the Karrie Genovese’s Garden Tour on Saturday, 6-25-22, from 2-4 p.m. and ten people attended Lisha Kimball’s Lilies/Berries Garden Tour on Saturday, 7-23-22, at 10 a.m.

            Cathryn reviewed the four estimates she has received for the air conditioning ranging from $5300 to $9600 and the pros and cons for each company.  The Board unanimously agreed to hire George’s Heating and Cooling from Manchester for $8200.

            Marty will call Emmett and inquire when the library sign will be posted.

Leslie will contact the Old Home Day Committee and find out when to set up for Old Home Day.  She will email the Board with the details.  Leslie will send an email to Nancy and Marty with details on the timeline for setting up for Old Home Day.

A unanimous decision was made not to pursue a volunteer policy and contract as well as a contract for impromptu volunteers or short-term volunteers.        

 Seven people attended the movie for July, Lone Star on Friday, July 15 at 7 p.m.  The movie for September has not been determined yet.  Marty will explore selections during his volunteer time tonight.  Leslie and Marty will attend the movie and Leslie will deliver snacks/water.    The movie for October will be The Invasion of the Body Snatchers.  Cathryn will coordinate the book for the Book Club to be the same as the movie.  Nancy recommended that Cathryn purchase the book for the library.  No movie will be shown in August.  Nancy inquired about the speaker cable on the projector and if it needed replacing.  Marty had Andy Garcia check it and was told it is not the cable.  The age of the current projector was determined to be five years old.

            Peg Foss responded that there are enough Celebration Bags at the Food Pantry on 7-25.

Leslie gave Marty a receipt for $15.99 for teak oil for the memorial bench in front of the library.  She has fertilized, weeded and watered the gardens.

 

New Business

          Marty would like to investigate the cost of a ceiling projector and will contact David Hemenway and inquire if the town’s speaker system can be utilized.  Purchasing the ceiling projector is pending until the balance of the Mainstay can be accessed and the cost of the air conditioner considered.

            Marty volunteered to power wash the front of the library.  Nancy suggested he speak with Dana first.

            Cathryn’s vacation will be August 28, 29, 31, September 4.

            Nancy gave Marty a bill for the Master Gardener coming in September for the Webster Garden Group.

            Nancy introduced the idea of hiring a Library Assistant.  Cathryn welcomed the idea.  Nancy provided a comparison of eighteen other libraries of similar size to Webster including number of hours worked and pay.  A conversation covered the pros and cons, possible duties, hours, pay.  Nancy asked each board member to fill out a worksheet with five questions highlighting needs and requirements for a potential assistant for the meeting in September.

           

The meeting ended at 5:00 p.m.  The next meeting will be held in the Meeting Hall next to the Library on Wednesday, September 28, 2022, at 4:00 p.m.

Summary of duties during July 2022

*Marty will contact Dana and inquire about power washing.

*Marty will make a check out for the Master Gardener coming in September for the Webster Garden Group.

*Marty will reimburse Leslie for $15.99 for teak oil.

* Marty will contact Emmett and inquire when the library sign will be done.

*Marty will investigate the cost of a ceiling projector and will contact David Hemenway to inquire if the town’s speaker system can be utilized. 

*Marty will continue to bring the itemized budget lists to the meeting.  He will also bring the page entitled “Actuals” to each meeting.

*Cathryn will order the book Invasion of the Body Snatchers for the library.

*Cathryn will post the Director’s Report online.

*Cathryn will proceed with purchasing a new air conditioner from George’s Heating and Cooling.

*Cathryn and Nancy will invite the public to the next Trustees Meeting on the town website and the Library’s Facebook page.

* Leslie will send an email to Nancy and Marty with details on the timeline for setting up for Old Home Day.

*Leslie will monitor the front gardens.

*Leslie will monitor the need for Celebration Bags at the Food pantry.  Last contact was July 25.

*Leslie will do the sign for the Garden Group and put it out in front of the library for August 4. 

*Leslie will do the sign for September’s movie and put it out in front of the library on September 6.  Leslie will attend the movie and provide snacks.  Leslie will get the Boscawen couple’s phone number just in case we have to cancel on a short notice.

*Nancy will follow up with candidates.

*Nancy and Donna will advertise the garden group meetings.

*Nancy will invite the public to the Movie Night on the town website, Pillsbury Lake website, the Facebook page and in the Concord Monitor.

*Nancy will welcome new residents to Webster and the Library with the welcome letter.

*Leslie, Nancy and Marty will represent the Library at Old Home Day.

*Everyone will complete their “homework” for a Library Assistant for the next meeting.
