Trustees Meeting by Zoom

Thursday, February 25, 2021

 

           The Zoom meeting began at 9:03 a.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.  The Zoom meeting took place on the library’s Zoom link.

The Secretary’s report for 1/28/2021 was reviewed and accepted.

The Treasurer’s report was reviewed and accepted. The biggest expense this month was for the computers totaling $1700.  Amazon is being paid directly from the checking account.  Zoom is paid with the updated credit card.  Michael was paid.  Marty will get in touch with the person who replaced Terry Knowles and inquire if money can be transferred back into the Mainstay account if the opportunity ever presents itself.

The Director’s report was reviewed and accepted.  Leslie commented that she was most interested in the information provided by the form entitled “Director’s Report”.  All agreed that the information provided by the form was sufficient.

 

Old Business                                  

            Marty contacted Emmett Bean and asked him about the blue/white Library signage.  Emmett was not quite sure of the regulations since the signage would be on Route 127, which is a state road.  Marty has sent a message to DOT and has not yet received a reply.  Nancy recommended getting the response from DOT in writing.  Marty asked us about locations for the placement of the signs.  His thoughts were placing one sign at the corner of White Plains Road and Route 127.  He suggested another one at the corner of Clothespin Bridge Road and Route 127.  Nancy suggested we wait to make a decision until Marty hears back from DOT. Other questions arose such as where to purchase the poles, the specifications of the pole and who is responsible for digging the holes.  Nancy thanked Marty for his inquiries and the time spent on this.

            Cathryn has received the paperwork for the credit card.  She will bring it to the bank to sign and to be processed.

            Nancy was unable to work on the diary this month.  Cathryn explained where the diary pages are located in the library.  Nancy will proceed this month if time allows.      

 

New Business

            Marty inquired when the audit was going to occur and was told on 3/26/21.

Leslie shared some paints she found at Family Dollar for a prospective rock project for the summer program.

Nancy reminded us that the mandatory Trustees Annual Meeting will be on March 25 at 3 p.m.  There will be an election of officers and the Director’s evaluation will be reviewed.

 

The Zoom Meeting ended at 9:31a.m.  The next Zoom Meeting will be March 25 at 3:00 p.m.

Summary of duties during March 2021:

*Marty will contact Diane Quinlan, Terry Knowles’ replacement.

*Marty is waiting for a response from the DOT about Library signage and will obtain their recommendations in writing.

*Cathryn will prepare and present her Evaluation to the Trustees on 3/25/21.

*Cathryn will set up the next Zoom Meeting for March 25 @ 3 p.m. and send us the link.

*Cathryn and Nancy will invite the public to the Trustee Zoom Meeting in March on the town website and the Library’s Facebook page.  Anyone interested in attending will contact Cathryn and she will send the Zoom link via email.  Cathryn and Nancy will keep the public informed of ongoing communication in the Grapevine, Concord Monitor and the Merrimack Valley Voice.

*Leslie will monitor the need for Celebration Bags at the Food pantry. (Last contact was 3-1-21)

*If time allows,Nancy will work on transcribing the diary and determine how/if others can help.

*Nancy will be on call for cleaning services.

*Nancy will welcome new residents to Webster and the Library with the revised welcome letter.

 

All the decisions made take into consideration the health and safety of the staff/patrons and are subject to change.  The Trustees and Director are meeting monthly and are making informed, cautious decisions.
