Trustees Meeting by Teleconference

Wednesday, May 6, 2020

 

 

           The teleconference began at 4:01 p.m.  Present were Cathryn Clark-Dawe, Director, Nancy Picthall-French, Chairperson, Marty Bender, Treasurer, and Leslie Collins, Secretary.  The teleconference took place on FreeConferenceCall.com.

The Secretary’s report for 4-22-2020 was reviewed and accepted.

The Treasurer’s report for May 6, 2020 was reviewed and accepted.  Marty purchased stamps and requires Nancy’s signature on the reimbursement check.    

 

Old Business

            Cathryn has emailed Rob Wolinski requesting information regarding reimbursement from FEMA for PPE and other supplies needed when we reopening.  Cathryn has ordered masks from the NH Emergency Center.  She is waiting to hear from Rob before ordering gloves, hand sanitizer, different sized paper bags and a plastic shield for the front desk.

            The decision to reopen the library was deferred once again until our next meeting. Cathryn posed us with many questions on the logistics of how we were going to open:

What will a limited reopening entail?

How will curbside delivery be implemented?

Before arriving at the library, will the patrons call from home or from the parking lot where reception can be an issue? 

How are we going to dispense the books to patrons?

Will we begin with limited hours?

Will masks be required to enter?  Where will they be located?

Will there be a restriction of how many people will be allowed in the library at one time?

Will volunteers be exempt from working?

            Cathryn will send us 6 sample openings for us to consider before the next meeting.

Audubon is scheduled to present on May 22, 2020.  A unanimous decision was made for Nancy to cancel the presentation.

Leslie has checked the NHLTA website for the Roundtable notes.  She has sent an email and was reassured that they will be published on the website once completed.

 

 

New Business

            Cathryn suggested that the culminating event celebrating the Summer Reading Program be cancelled this year.  All agreed.  Cathryn is brainstorming how she will run the Summer Reading Program.  Mailings, online activities, coordinating communication efforts with WES, virtual story hours, Grab & Go/Make & Take projects, providing a bibliography from Hoopla supporting the summer theme, Imagine Your Story, are under consideration.  

 

            The teleconference ended at 4:50 p.m.  The next teleconference will be on Wednesday, May 20, 2020 at 4:00 p.m.

Summary of duties during May 2020:

*Cathryn will attend the Library Directors virtual meeting on May 7.

*Marty will set up the next teleconference.  (1-425-436-6362, 455735#)

*Cathryn and Nancy will invite the public to the Trustee Meeting Teleconference Calls on May 20, 2020 at 4:00 p.m. on the town website and our Facebook page.

*Cathryn will check her email twice a day for questions from patrons.

*Leslie will check the NHLTA website for notes concerning the Virtual Roundtable on 4-24-2020.  (Notes were sent to everyone via email on Friday May 8, 2020 @ 6:37 p.m.)

*All:  Will be brainstorming 5-6 Grab & Go/Make & Take projects for the summer reading program for approximately 12 participants.
